Terms and Conditions

These Terms and conditions are a formal agreement, outlining the policies for our upcoming sessions together, they are being given to you, so that you have all the information you need to understand and be aware of what is on offer, and how I will be working with you, along with me setting out the expectations for us both working together in the counselling process.

These explain my role when working with you, any ethical and legal requirements whilst working together. e.g., working with you Confidentially along with the professional conduct needed to manage expectations and prevent any misunderstanding.

These Terms and conditions also include session information by clarifying my fees, payments, cancellation procedures, non-attendance, my confidentiality limits, session duration information, agreements to what is on offer, and any mutual expectations are also confirmed for us to maintain a respectful relationship, which has honest communication between us both.

If you have any questions or comments at all, at any time, please do not hesitate to let me know in session or by email if it is outside of session, I always aim to respond to any communication within 24 hours.

  • Working Ethically– I work within the BACP Ethical Framework (British Association Of Counselling and Psychotherapy), this enables me to work with my clients, in a morally, good, correct way, by setting out and providing the structure of the BACP’s values, principles and good practice that supports ethical decision making, that ensures I provide appropriate standards of care for my clients, by providing and promoting a secure, safe, quality therapeutic relationship which is based of Fairness, Integrity, Respect, Safety and Dignity for all of my clients.
  • My Role- The focus of our sessions, is to provide you as my client, with a safe space that enables you to explore any presenting issues, worries or concerns, whether they are of a personal, professional or other nature, by exploring with you in this counselling process not having personal opinions, or having, making judgments to you, because my role is to work with whatever you bring, this will always be the focus of the work we do together, working with your agenda, time, and pace and never to mine.
  • Confidentiality- This means whatever we talk about in our session is strictly confidential, however, if you talk about or disclose something where you felt, you are at serious risk to life or serious harm to your life, or to someone else, and if I have a concern, I have a duty of care to all my clients, to take any serious concerns to my supervisor, your GP, or another agency if required.
  • GDPR (General Data Protection Regulations)-All personal data is kept securely along with any brief session notes, these notes all remain the property of Theresa Pye @ Talk it out services, in accordance with the GDPR regulations act 2018, this information WILL NOT be shared with any THIRD PARTY, my session notes will be destroyed 6 months after your last attended session, or if you have had, or have any planned breaks in our sessions together, I will only keep your notes, for 6 months for any future reference, if you return back to sessions with me, if after the 6 months period has passed, I will have to re-confirm your contact and personal information again to be able to continue our sessions together, because any previous information will have not been kept.

(Please note): My supervisor is someone who I legally must see once a month, any concerns are always discussed with them, no names of clients are discussed, but clients are referred to by an allocated number reference at all times.

in the supervision session, I can get support and advice, which enables me to support my clients going forward, I will wherever possible, try to discuss my concerns with my clients first, but it may be necessary only in the extremist of circumstances would I ever need to break the confidentiality limits between us. 

  • Clarifying my fees- All my fees are on my website talkitoutservices.co.uk, my fees are priced competitively and are reviewed regularly, (please refer to the website if you require any up to date information).
  • Session duration/timings etc- All Individual sessions are booked for 60 minutes, unless other arrangements have been previously agreed, at the end of each session is when the next session is agreed and booked in, please be aware of any upcoming appointments that may coincide with our session days and times.
  • Payments- All payments must be paid by 9pm on the day before our session is due to take place, unfortunately without prior full session payments made by 9pm day before, our sessions will not take place, under no circumstances is payments accepted on the day.
  • Payment Information- all payments are made by clicking the Sum Up link sent out to you on the weekend before our session is due always via email, or by text if email is not working, or by the Sum Up App, or by the Sum Up account Info below.

  • Arriving for Sessions-I do ask if you can arrive no earlier than 5 minutes before our session time, due to multiple clients being seen throughout the day, I must uphold and be able to maintain the confidentiality with all my clients.
  • Lateness- If you attend the session late, we will still finish and end the session on the booked/scheduled agreed time, under no exceptions are sessions extended.
  • HolidaysAny notice of holidays, we both must give 4 weeks or more notice wherever possible.
  • Cancellation procedures- I require a notice period of 24 hours, for any cancellation of sessions, this must be done no later than 12oclock midday on the day before our session day, I also will aim to give you the same 24 hours or more notice, of any session cancellations.

There are no exceptions of rebooking in another date and time, without the 24 hours’ notice period.

If you do give 24 hours’ notice, I will try to find another available slot where possible for the session to go ahead in the same week, providing there is availability for sessions, or we may have to rearrange to another week or date.

  • Non-attendance- All sessions booked are with me committing to the agreed time slot and making myself available to you by booking out 60 minutes for our agreed session day and time, the agreement between us, is with the expectation of 24 hours cancellation notice of sessions, given by you, and the trust in you to attend all booked sessions, non-attendance means that no payments are refunded, or moved to another session, no exceptions, and all full session fees are still payable, this is a non-negotiable cancellation notice policy.
  • PLEASE NOTE:

Non-attendance cont’d- (FYI) If you do not arrive or call within 15 minutes of the agreed session appointment time, I will take this as a cancellation or non-attendance of our session, and if you choose to turn up, you will not be seen, also you are still charged for missed sessions.

  • Working together agreements to what is on offer- we have 6 scheduled sessions together (pencilled in), after every 6th session, we will do a review, this review explores, how you feel the sessions are going, what you are taking away from the sessions, and also helps to identify any future key areas of potential focusing, at the end of each review you are asked, if you want to extend sessions for another 6, and then 6 more sessions are booked in for you, if you felt no, and wanted to cancel, we will arrange one more session, if needed that will be your last and final session to explore wants and needs going forward without session’s.
  • Outside Session Communication- Any communication or contact Re: Session payments, appointment changes etc only, at no time is any in-session details or information discussed outside of the session, in session details stays in the session and will not be discussed outside.
